Privacy Policy

Effective August 1, 2026

Green Hat Community is a community safety app operated by Green Hat Solutions LLC ("we", "us"). This policy explains what we collect, why, who we share it with, and how you can delete it. We do not sell your personal information.

Green Hat Community is not an emergency service. It does not contact police, fire, or medical responders. In a life-threatening emergency, always call 911.

1. Information you give us

Account — name, email address, password	To create and secure your account. Passwords are stored only as a salted one-way hash; we can never read them.
Incident reports — category, description, address or map location, time, and optional photos, video, audio, and suspect or vehicle descriptions	To route the report to the right community and alert nearby members. Reports may be submitted anonymously.
Community membership — which communities you join and access codes used	To show you the right alerts and grant messaging access.
Messages — content you post in community channels	To deliver them to your community.
Emergency contacts — names, phone numbers, relationships	Stored so you can reach them quickly. Only you can see them.
Personal alert areas — locations and radii you define	To notify you about incidents near places that matter to you.

We do not collect health information. Green Hat Community does not ask for or store blood type, allergies, medical conditions, medications, or any other health or medical data.

2. Information collected automatically

Location. With your permission, approximate or precise device location is used to place a report on the map, pre-select the community you are standing in, and evaluate your personal alert areas. You can deny or revoke location permission in your device settings and still use the app; some features will ask you to pick a location manually.
Push token. A device identifier issued by Apple or Google so we can deliver notifications. Removed when you sign out or disable notifications.
Basic technical logs — request times, error diagnostics, and sign-in timestamps, used to keep the service running and secure.

We do not use advertising trackers, and we do not build advertising profiles.

3. Public safety data we display

The crime feed, weather alerts, and registered-offender map layer are drawn from public government sources — Metro Nashville Police Department open data, the National Weather Service, and the Tennessee Bureau of Investigation Sex Offender Registry. This is public record information published by those agencies. We do not send them any information about you, and we cannot correct their records. Registry information is provided for community awareness only; using it to harass, threaten, or commit a crime against any person is illegal under Tennessee law.

4. How we share information

We share only what is needed to run the service:

Your community	Reports and messages you post to it. Anonymous reports do not carry your name.
Cloud hosting and database providers	Data at rest and in transit, so the app can function.
Push notification services (Apple, Google)	Your push token and the notification text.
Email provider	Your email address, to send password-reset codes.
Our CRM	Name, email, role, communities joined, and subscription status — used to support customers and manage organization accounts. Not your reports, messages, emergency contacts, or health information.
App stores / payment processors	Subscription purchases are handled by Apple or Google. We never receive your card number.
Address lookup	An address you enter may be sent to the U.S. Census Bureau geocoding service to convert it to map coordinates.
Law enforcement	Only when required by valid legal process, or when we believe in good faith that disclosure is necessary to prevent imminent serious harm.

If an organization such as a property management company or HOA sponsors your community, they are told how many residents have joined. They are not given your reports, messages, or personal profile.

5. Your choices and rights

Delete your account. Settings → Delete Account. This permanently removes your profile, emergency contacts, alert areas, messages, and memberships. Incident reports are retained in anonymized form as community safety records with no identity attached.
Access or correct your information in the app, or email us.
Location and notifications can be turned off at any time in your device settings.
Residents of California, Colorado, Connecticut, Virginia, the EU/UK, and other regions with privacy laws may request a copy of their data, correction, or deletion by emailing info@ghsolutionsllc.com. We do not sell or share personal information for targeted advertising, so there is nothing to opt out of. We will not discriminate against you for exercising these rights.

6. Retention and security

We keep your information while your account is active. After deletion, backups age out on a rolling basis. All traffic is encrypted in transit (HTTPS/TLS), the database requires TLS, and passwords are hashed. No system is perfectly secure, so please use a strong, unique password.

7. Children

Green Hat Community is not directed to children under 13, and we do not knowingly collect their information. If you believe a child has created an account, contact us and we will remove it.

8. Changes

If we make material changes we will update the effective date above and, where appropriate, notify you in the app. Continued use after a change means you accept the updated policy.
